Employees Leave Request and Attendance Policy

The purpose of this policy is to promote transparency and consistency in the management of employee leave, thereby supporting fair treatment and equitable application of attendance standards across the company. It aims to reduce absenteeism, improve workforce reliability, and ensure that operational needs are met effectively. By establishing clear guidelines for leave requests and attendance monitoring, the policy also seeks to foster a culture of accountability, professionalism, and mutual respect among employees and management. Ultimately, the policy contributes to maintaining a disciplined work environment that aligns with the company’s values and strategic objectives.

1. Leave Request:

Employees must submit an official leave request form via email prior to the intended leave date.
The request must be sent to both the employee’s immediate manager and the People Manager.
The immediate manager shall review the request and respond with either approval or disapproval.

2. Unauthorized Leave:

Leave requests submitted without prior official approval (i.e., after the leave has been taken or without notice) will be deemed unauthorized absence.
Unauthorized absences will result in a warning letter.
Both the employee and their direct manager are accountable for unapproved leave.

3. Attendance Monitoring and Disciplinary Actions:

Employees absent for more than two days, whether consecutive or non-consecutive, will receive a first warning.
If an employee is absent again after the first warning, a second warning will be issued.
Continued absence after the second warning will result in a final warning, which will include a specified timeline for the employee to improve attendance.
Failure to demonstrate corrective action within this timeline will lead to termination of employment, subject to the applicable notice period.

4. Responsibilities

    Employees are responsible for submitting leave requests in advance and obtaining approval prior to leave.
    Managers are responsible for reviewing, approving, or disapproving leave requests promptly.
    PM shall monitor attendance records and ensure disciplinary procedures are followed as per this policy.

    5. Implementation and Review

      This policy shall be communicated to all employees and reviewed periodically to ensure effectiveness and compliance.
